Terms and Conditions

Making a Booking with Down to Earth Adventure Pvt. Ltd.

Down to Earth Adventure Pvt. Ltd. is a fully registered company (registration number: 602439893) licensed by Nepal Department of Tourism. to provide trekking, adventure and tour services. The following document provides the terms and conditions for making a booking with us.
  1. Complete a booking form to indicate your name, contact details, the trip you would like to book, preferred dates, group size. We will contact you to discuss the package and finalise your interest in making the booking.
  2. Reserve your place on the trip by scanning and sending a copy of your passport bio-data page and a non-refundable deposit payment of US$500 to cover advance flight tickets, hotel booking and to allow us to process your trekking permit.
  3. The deposit payment can be made by bank transfer or Western Union transfer.

  4. Bank service charges are the responsibility of the clients to pay at the time of making the deposit.
  5. After receiving your passport copy and deposit, we will email you an electronic copy of your receipt. (We will provide you with the hard copy when you arrive in Nepal.)
  6. The remaining balance can be made after your arrival in Nepal. Full payment should be made before the trip departure. We reserve the right to cancel the trip if full payment is not made in a timely manner.
  7. We accept your last minute bookings up to 15 days prior to the tour departure date.
  8. Travel insurance is compulsory for all clients undertaking any trip package with Down to Earth Adventure Pvt. Ltd. It is the client’s responsibility to ensure that their insurance policy provides adequate protection for the full duration of the scheduled trip so as to cover them against personal injury, medical and repatriation expenses, helicopter evacuation in addition to standard inclusions.
  9. In the case of cancellation of a confirmed booking, this must be done in writing via email or written document. Cancellation will be acknowledged by our company from the date when the written correspondence is received by us. The refund amount will be any monies paid less the non-refundable deposit payment made at the time of booking. In the case of illness or injury preventing you from completing your trip, you may be able to recoup the deposit costs via your insurance company. Alternatively, if adequate notice is provided we may be able to postpone your trip to a later time that is more convenient for you.

Risks and Liabilities:

We are committed to offering you the very best service in all areas of your chosen trip package. Our field staff are professionals in what they do and our shared goal is to provide you with a once in a lifetime package that will surpass your expectations. However, at times, due to matters and events outside of our control, changes are required to the stated itinerary that you booked. In such cases as unexpected natural phenomena (landslides, floods, road blockages, heavy snowfall), political unrest, changes in government restrictions, sickness or accident, cancellation of flights and / or delays due to poor weather, it must be noted that any additional costs arising from such events shall be borne by the clients at the time of the expense. In a majority of cases, it is possible to apply for reimbursement of receipts via your travel insurance provider. It is essential that you read your insurance policy carefully and check the inclusions / exclusions for travel delays. It is always advisable to allow extra days at the end of your trip in case of flight delays,

Rights and Responsibilities:

In committing to booking a trip with us, you are doing so understanding the activity involves increased risks due to effects of increased altitude, intensity level of physical activities performed as well as the possibility of extreme weather conditions occurring. Ultimately, you need to be mindful that you are engaging in a potentially dangerous pursuit and to do so accepting the risk. Having said that, we take your safety very seriously and will do everything in our power to ensure you can enjoy your Himalayan adventure to the maximum. Field staff will provide you with daily briefings of weather conditions and an outline of the itinerary. They are responsible for advising you of ways to keep you safe and healthy on trek. It is the client’s responsibility to follow the field staff’s direction and advise the field staff immediately of any changes in their health status so that the field staff can promptly respond with first aid or take you to a health post to be examined by a doctor. Acute Mountain Sickness is a very real and dangerous medical condition and it is important for clients to help field staff identify the symptoms to reduce further complications by descending to a lower altitude and seeking medical assistance.Our policy is to direct clients to drink a minimum of ? each day and to advise a responsible approach to walking at high altitude involving adequate rest and acclimatisation time as precautions against AMS. Furthermore, when signing the booking contract with us we will go through the agreed inclusions and exclusions of the trip to ensure that both parties are making a transparent transaction. It is our policy to honour the contract that we have entered and to make necessary changes to itinerary due to factors beyond our control only in consultation with the client. As mentioned previously in risks and liabilities, this may result in the client being required to cover extra expenses arising from the change, but these would only be in the case of factors beyond the normal conditions expected. As the client, you have the right to expect an excellent service from our staff.
